Here's a breakdown of what each service entails and some other frequently asked questions.
Xero + Hubdoc

We believe in efficiency & systems, so I’m passionate about setting all of our clients up on Xero (for bookkeeping) and Hubdoc (for collecting paperwork). This setup or migration from another system is included in our onboarding, as is the subscription fee as long as you work with us. If we part ways, we’ll transfer ownership of it all to you.

Monthly or Biweekly Recordkeeping

This includes maintenance of bank feeds, matching & recording transactions, asking you for receipts and invoices to support your expenses (hello, audit-proof books!), and making sure your data is reliable. We don’t pay your bills or ask your customers for payments. That’s on you, my dear. We will help you develop an efficient process for AP/AR.

Unlimited Transactions

We will revisit our pricing every 6 months to make sure the value we provide is in line with your needs as you grow.

Unlimited Bank Accounts

I fully support our clients who manage their finances with the either method of accounting:

  • Traditional method of accounting: sales – expenses = profit

  • Profit first method of accounting: sales – profit = expenses

which means I know you might have at least 5 bank accounts. It’s all good. I also have bank relationships for those who want to use this method.

Unlimited Communication

We don’t ever want you to feel like you can’t reach out if you have a question or need to bounce ideas. All communication is included, but if we have to do ad hoc (extra) analysis or research to give you solid advice, that’ll be billed separately.

Annual 1099 Filing + Compliance Reminders

If you pay rent, attorneys, or other service providers for work in your business (as contractors), you may be required to issue 1099s. We’ll help you determine who needs one and create those filings for you.

We’ll also check on your annual corporate report (LLC) in your state each year to make sure you’re in good standing.

Monthly / Quarterly Debriefs

This includes monthly financial reports, a visual dashboard of key metrics, and a 5-minute loom video explaining your performance & financial health. ‘Cause the magic is in the debrief.

Payroll with Gusto

If you are an S-Corp or have employees, we will set you up on Gusto for payroll. You’ll be responsible for running payroll & paying the subscription fee, but we’ll manage the integration and help troubleshoot when needed. We’ll also extend a discount for the subscription!

Annual Budgeting

For our VIPs, we meet annually to create a budget and will include a monthly budget-to-actual comparison for you so you can see exactly how you’re tracking against your plan each month and you can course correct.

U.S. Sales Tax

If you sell physical products or are required to collect sales tax on your services, we will assist you in filing sales tax and tracking nexus. We use Tax Jar to set up auto-filing if at all possible. You will be responsible for paying the TaxJar Subscription.

Business Property Filings

If you have a physical location, you may be required to file Annual Business Property Tax Returns, listing out your equipment and leasehold improvements each year. We can assist with this if you are a VIP, or can be an add-on service with other packages.

Annual Financial Presentation

After the close of each year, we will compile your annual performance into a slide presentation with charts & visuals to help you see your performance compared to last year! Our clients LOVE this!

Is QuickBooks desktop being discontinued?

After May 31, 2024, your QuickBooks Desktop 2021 software will be discontinued. This includes all 2021 versions of QuickBooks Desktop Pro, QuickBooks Desktop Premier, QuickBooks Desktop for Mac, and QuickBooks Enterprise Solutions v21.

Can you still use QuickBooks desktop without a subscription?

There will be no additional subscription fees while using the software for your business needs. If you don’t use any add-on services like payroll or bank feeds, you can usually use your non-subscription QuickBooks version for a few years to maximize your return on investment.

Do I have to buy QuickBooks desktop every year?

To view your data after 1 year, you’ll have to renew your subscription. Note: As a QuickBooks Desktop user, you still own your data, regardless of subscription status. You can open and edit company files at any time with a compatible license or active subscription. (Nov 1, 2023)

Should I switch from QuickBooks Desktop to QuickBooks Online?

It’s all about finding the right accounting tools for the job. If your client is using QuickBooks Desktop Pro, Premier, or Mac 2014 and later , QuickBooks Online may be a good option. This lets them do their accounting online, rather than on a dedicated computer.

Is there a better option other than Quickbooks?
According to fitsmallbusiness.com, Xero is a better choice for businesses that need many users to access accounting data and require low-cost inventory and fixed-asset accounting.
